Back in June we were asked to do a ‘Teachmeet’ session at JISC OA Pathfinder Advocacy day at the University Northampton. This is not something we’d done before, so we were unsure what to expect!<br />
Fortunately, things went well. It was great to try this different style of presentation as it<br />
gave us a chance to meet other people and share ideas. Our session was based<br />
around the ‘top tips’ for promoting OA we’ve gathered over the last few years at Portsmouth.<br />

These are our top tips:<br />

<li><b>We run monthly workshops for academics about OA</b>. These workshops are well attended because they are part of Portsmouth’s Researcher Development Programme, run by the department of Research and Innovation Services. We’ve done quite a bit of work over the last year developing these workshops by distributing questionnaires to explore academics’ existing knowledge of OA before the workshops and using feedback questionnaires afterwards. We are quite pleased with the final result and have released the presentation under the CC-BY licence. <li><b>Compliance reporting</b>. Every 3 months we compare Pure to Scopus to work out what articles we are missing from Pure. This report gets sent to our Associate Deans for Research, and so passes the responsibility of chasing articles to the faculties.</li>
<li><b>The Library does not validate outputs submitted to Pure that have incorrect or missing information.</b> For example, if they do not include the full-text author’s accepted manuscript version of the article. Instead, we contact the academic and request that they send this information through.</li>
<li><b>We communicate</b> with academics through all channels, including email, social media etc. We’ve got an OA information website and we distributed a printed poster and single page flow chart to all academics.</li>
<li><b>At Portsmouth we’ve got good links between the Library and the Research and Innovation Services (RIS) department.</b> My role as Research Outputs Manager is based in both departments, and we work closely together on our CRIS system, Pure. Also, links with RIS help in the promotion of OA because they have good links with the researchers. In addition to promoting the OA workshop on the Researcher Development Programme that they run, they also produce the Research and Innovation newsletter, which is distributed to all academic staff every 3 months, and includes a ‘Library Update’ section. For example, <a href="http://www.port.ac.uk/media/research/newsletters-and-blog/RandI-News-Issue-17.pdf">see page 4 of the Summer 2016 edition</a>.</li>
</ul>

Professor Mortimer is a strong advocate of open access publishing and needed no persuasion to talk to us on camera about the benefits of OA and how easy it is to deposit research outputs into our institutional repository, IRep.<br />
<br />
It was the first time we had produced a video aimed at research staff, so we worked with the University Marketing department to develop a brief - for both our benefit and that of the film company. We provided them with background information on the topic and the questions we wanted to ask Robert. On the day the film crew put him at his ease by asking some neutral scene setting questions and then seamlessly moved into the subject questions. Robert was a natural and clearly articulated why he believes OA is helpful to individual researchers, groups and the University as a whole.<br />

Portsmouth we run monthly workshops on Open Access, which are delivered by

order to do this, we asked academics due to attend each workshop to complete a <a href="https://drive.google.com/file/d/0BwDkdW2y1X6kbXZ5SUktQmhxRm8/view?usp=sharing" target="_blank">pre-workshop online questionnaire</a>.
This looks at their previous experience and knowledge, plus whether they have
any specific needs, such as whether they have funding from a particular funder.
The workshop was then designed / adapted from the previous workshop based on
this info. After the workshop, the academics are asked to complete a <a href="https://drive.google.com/file/d/0BwDkdW2y1X6kOUtiVy1JaTg4QlU/view?usp=sharing" target="_blank">post-workshop feedback online
questionnaire</a>, asking what they found useful, how they were going to
change their behaviour and how the workshop could be improved. This feedback is
used to inform the design of subsequent workshops. This pre and post
workshop questionnaire approach is repeated each time the workshop is run, so
(in theory at least!!) the workshop should improve each time. </span><span style="font-family: "arial" , sans-serif; font-size: 9.5pt;"><o:p></o:p></span></div>

pre-workshop questionnaires have indicated that academics tended to have a
broad idea of what OA is, and supported the concept. However, they were
unsure of the details and what they needed to do. Feedback from
post-workshop questionnaires has been overall very positive, with many
academics indicating they are aware of the key issues, e.g. they indicated that
they now knew they needed to upload articles to Pure, and to check a
journal's compliance before submitting their work. Attendance is fairly
good, with each workshop having between 15 and 20 academics, from across the

In response to feedback from academics early in 2015, when
interviewing them as part of our Jisc Pathfinder project, we found a clear
demand for a one page simple message for what they need to do. This resulted in
a promotional poster designed (and re-designed!) in consultation with
academics. We originally used a slightly adapted version of HEFCE’s poster. <span style="text-align: center;">aimed at raising awareness. You may have seen it feature in <a href="http://openaccess.jiscinvolve.org/wp/files/2015/06/v2JR0038_OA_Good_practice_MAY2015_v5.compressed.pdf" target="_blank">Jisc’s newsletter</a>.</span><br />

a similar way, we tried to make sure the appearance of our <a href="https://researchportal.port.ac.uk/"><span style="color: #1155cc;">Research
Portal</span></a>, launched in August 2015, wouldn't put academics off. This is the public front end to our Pure
CRIS, and we worked with Elsevier to ensure a clear and attractive site. It’s
far easier to ‘sell’ a website to academics that looks professional and tidy,
compared to one that looks dated and cluttered. I know this sounds really
obvious, but I get a sense it’s sometimes underestimated. It’s still early
days, but feedback so far has been good and the Portal has given us a clear
focal point for finding out about Portsmouth research.</span></span></div>

The project group at NTU was keen to explore researcher understanding of open access (OA), plus
their attitudes and behaviours in relation to OA publishing, in order to provide more targeted and
appropriate support.
<br />

We chose to investigate researcher attitudes and experiences of open access publishing through
semi-structured interviews in the expectation that this would encourage a two way conversation
where respondents felt able to express their views in their own words. It also provided a basic
framework for the dialogue, allowing us to deviate and probe into different aspects more deeply if
when required.
<br />
<br />
The main topic areas covered by the semi-structured interviews were: how the interviewee decides
to disseminate their research results; their preferred methods of publication format, and how they
choose where to publish; their understanding of OA; whether they publish their results through OA;
and finally how the university could help the interviewee publish their research outputs more
regularly via OA.
<br />
<br />
The interviews lasted between 30 to 60 minutes. Notes were taken during the interviews, and they
were also recorded so that we could transcribe the main themes later. The information obtained
during the interviews was then categorised and collated in Google forms.

50 research staff were interviewed across all Schools within the University, 23 of which were female
and 27 male. 13% of respondents classified themselves as early career researchers, 35% mid-career
researchers and 52% as established researchers - we targeted researchers that had submitted to the
last REF and so the relatively high number of mid and established researchers was to be expected.

<b>Deciding where to publish:</b> All of the researchers interviewed follow the standard dissemination and
publishing practices within their disciplines, with a high proportion highlighting that they have
accepted invitations to publish in particular journals or monographs and that they respond to calls
for papers. Encouragingly 48% of the interviewees have a strategic approach to the dissemination of
their research, although not all of them have formally written it down. Unexpectedly, the impact
factor of a journal, reputation and the audience is highly influential when choosing where to publish.
<br />
<br />
<b>Understanding of OA:</b> All respondents understood that OA allows free access to the reader to
material published through this route. The majority were supportive of OA and saw the main
benefit being the ability to reach a wider audience; few interviewees, however, mentioned the
potential of OA to increase an author’s citation rates. Just over quarter (28%) of the respondents
linked OA with the need for the author to pay for their research findings to be published and the
majority did not automatically associate IRep, our institutional repository, with OA publishing. Only
a small percentage (mainly established career researchers) could easily articulate the difference
between gold and green OA, plus the University and/or the RCUK policy on OA.

<b>Publishing through OA:</b> At the time of the study 64% of interviewees made their research publications available in full text through the institutional repository, IRep. 4.7% had also paid a publisher to make their work available through gold OA. 28% of the respondents had not made their research available through OA.<br />

<b>Four main barriers to publishing through OA were identified:</b><br />
- Lack of funding 70.4%<br />
- Lack of time 14.8% (research in general as well as publishing)<br />
- Perceived lack of understanding of copyright and what they were legally allowed to do by<br />
publishers 14.8%<br />
- The system (IRep) was too difficult to use 11%<br />
<br />
<b>How the university can help:</b> The respondents felt the university could encourage authors to publish via OA by:<br />
- Regularly reminding research staff of good practice<br />
- Providing additional funding for publication through Gold OA<br />
- Providing clearer guidance on copyright<br />
- Making the IT infrastructure / systems easier to use<br />
- Producing case studies showing link between OA and improved citations, readership, and to dispel myth of ‘dodgy’ publishing.<br />
<br />
<b>So how has the findings influenced our work and the support we offer?</b> We’ve formulated a more formal dissemination and researcher engagement plan that has been agreed with the PVC for
Research, which has placed a greater emphasis on a multi-pronged approach to communication and
advocacy. This in turn has led to the introduction of OA drop-in sessions to supplement the more
formal RDF events, and the development of new OA support materials, such as postcards and flyers,and the creation of a short case study video in conjunction with our marketing team. To try to
alleviate researcher concerns around copyright and misunderstandings about the need to pay for
OA, we have increased the amount of information provided on tools such as Sherpa Romeo and on
the differences between green and gold OA. In response to the request to make our systems easier
to use, further improvements to our institutional repository submission process will be introduced in
the first quarter of 2016.<br />

We’ve been busy at Portsmouth this term with all things open
access related. I expect we have much in
common with other universities; for example, we’ve got a <a href="http://www.port.ac.uk/library/help/research/open/"><span style="color: #1155cc;">web page</span></a> about open access, an open access <a href="http://www.port.ac.uk/accesstoinformation/policies/humanresources/filetodownload,183267,en.pdf"><span style="color: #1155cc;">policy</span></a>, a <a href="http://www.port.ac.uk/library/help/research/ResearchOutputsTeam/"><span style="color: #1155cc;">team</span></a> in the Library who manage the validation
of publications, a CRIS (Pure), website showing content from Pure - <a href="https://researchportal.port.ac.uk/portal/"><span style="color: #1155cc;">Portsmouth
Research Portal</span></a>, all-staff emails sent from our Pro Vice Chancellor
for Research, and so on. Also, similar
to other universities we have a cross-department OA Working Group which
includes the Library, Research and Innovation Services, and our OA champion and
academic representative, and which drives the direction of open access within
the University.<o:p></o:p></div>

But there are few things we’re doing that I think may be less
common in other universities. So I

between the Library and the Research and Innovation Services (RIS) department.
I work 2 days in our RIS department and the rest of the time in the Library.
This arrangement has been really helpful in facilitating collaboration, which
was crucial when setting up Pure.<o:p></o:p></div>

we tend not to offer one-to-one sessions with academics - initially at
least. Instead, academics are first
encouraged to come along to a <a href="http://www.eventbrite.co.uk/o/university-of-portsmouth-researcher-development-programme-6793003481"><span style="color: #1155cc;">workshop</span></a>, which I run each month on our <a href="http://www.port.ac.uk/media/research/researcher-support/10471_ReseacherDevprog2015-16_websingles-5.pdf">Researcher
Development</a> programme, managed by our RIS department. To guide the design of these workshops,
academics are asked to fill in a short pre-workshop questionnaire which looks
at what they know about already, and then a post-workshop questionnaire which
explores what they will do differently as a result of the workshop. If after coming along to a workshop, they
would like a one-to-one, then we’re more than happy to meet up with them. But I tend to find that most people are happy
that the workshop gave them an overview, and they just want to ask short,
specific questions afterwards. This
approach makes delivering training more manageable than trying to offer lots of
one-to-one sessions.<o:p></o:p></div>

upload the details to Pure without a copy of the article itself. Although
sometimes the academic doesn’t have a copy, it gives us the chance to engage in
a conversation with the academic and explain to them why they need it for
future articles. Of the 2014-2015
journal and conference articles on Pure, approximately 90% of them have the
full-text attached.<o:p></o:p></div>

</span><!--[endif]-->Snapshot comparison between Scopus and Pure to get an
estimate of the percentage of Portsmouth articles are missing from Pure. For
example, if this comparison were to indicate that around 50% of our research
articles may not be REF-eligible as they are missing from Pure, this would be
difficult for the faculties to ignore.
We will complete this comparison each 3 months, and (hopefully!) see the
percentage of articles in Pure rise. The
3 monthly report, which is on an article level, is sent to research leads in
faculties to help them chase their academics. I know there are limitations in
this approach, not least Scopus’s patchy coverage of a few subject areas, but I
feel that we need to start somewhere. The aim is not to get an incredibly
accurate breakdown; instead, it’s to gauge or estimate our overall open access
‘performance’. <o:p></o:p></div>

email address. I’m starting to analyse the kind of questions we’re being asked.
This is at an early stage, and it’s nothing more fancy than using the labels in
gmail (our email system) to divide the emails into categories. This is very quick to do, and should help us
identify key themes in the issues academics are having, which inform the design
of our website, training etc.<o:p></o:p></div>

As anyone working in a UK university knows, open access week falls at an incredibly busy time in the academic cycle. Nevertheless, we wanted to take advantage of OA week as our open access advocacy plan stresses the need for a multi-pronged communication strategy. Within open access week we wanted to explore how well drop-in sessions could act as a supplement to the more formal sign-up sessions we provide as part of the wider Researcher Development Programme at NTU, so decided to run our standard one-hour session on open access and IRep (NTU’s institutional repository) followed by a two-hour drop-in slot providing researchers with the opportunity to ask questions around open access and upload their documents into the repository. With the offer of coffee, Kit-<br />
Kats, and help from their friendly Research Support Librarians, we had good attendance<br />
at our two largest sites. The drop-in sessions were facilitated by three Research Support<br />
Librarians who were kept busy from start to finish. The range of help varied from a few<br />
researchers asking general questions around copyright issues, to requesting help in<br />
registering to use our online submission form and uploading documents. There was a<br />
definite increase in IRep engagement after open access week, and one of my colleagues<br />
was embedded into the research seminar slots for one of the Schools she supports as a<br />
direct result of the OA week activities. Was it a success? We think so!<br />

in at least 50 HEIs in the UK. Research
Consulting conducted a series of regional workshops to review the key
challenges that faced HEIs in implementing the REF OA policy. CIAO was used to
aid identify and categorise the challenges. were on tour, meeting at various locations around the UK. In July a
presentation was given at the Arma Good Practice workshop in York, followed by
a presentation at the Loch workshop in Edinburgh in August, Attending these</span></span><span style="font-family: Arial, Helvetica, sans-serif;">presentations has been a great way of finding
out what is</span><span style="font-family: Arial, Helvetica, sans-serif;"> </span><span style="font-family: Arial, Helvetica, sans-serif;">going on around the UK and
how we are tackling OA issues. Coming from a modern university with a growing
research profile, it feels like we are just finding our way through a thicket
and have the most empathy with similar universities such as Nottingham Trent,
Portsmouth and Coventry.</span></div>

has been learnt over the past year is nothing stands still, it seems that we
are in continuous state of flux and people and systems need to be flexible in order to adjust to changes.
Last autumn here at Oxford Brookes, our Pro Vice- Chancellor research, Alistair
Fitt offered to run 15 post REF roadshows which included coverage of the new
Hefce OA requirements. The most powerful
part of the presentation was when he logged on to the CRIS and uploaded the postprint version of one of
his papers just to show how easy it was
and also to say that no matter who you are, it was the academics responsibility
to add their research at the point of acceptance. Each academic that attended
received a bookmark with some simple instructions. A good number of academics
have since uploaded their publications, but it is now nearly a year ago since
the roadshow and more advocacy needs to be done. That's where My Individual
Assessment of Open Access (MIAO) – a tool for individuals to assess their
readiness for open access could prove useful as an icebreaker at departmental
meetings. Having produced a pilot version in March, a fully editable one has now been created which means that it can be
adjusted to suit local needs. So that's the next job is to edit MIAO and add
information that is Oxford Brookes specific. Here is the link to the editable

Trent University reported on the results of the interviews that they conducted
in December/January 2014/15 and work has been done over the summer to further
analyse these. Meanwhile Portsmouth have also been conducting some interviews.
At Oxford Brookes, it was decided to concentrate on the ethnographical
interviews where researchers are interviewed about how they disseminate their
research, how do they decide where to publish. Do they consider OA? It was
decided to invite researchers who were in receipt of RCUK funding for
interviews. email invitations went out at the end of May but the timing was
wrong. It was the end of semester, exams needed to be marked and then
researchers wanted to get on with their research. Not one positive reply was
received. A case of researchers behaving badly! So invitations followed up with
a phone call will be sent out again this month. Let's hope there’s a
better response.<o:p></o:p></span></div>

As in other Alliance Universities, the research agenda has continued to grow in prominence at NTU. Support for research staff is offered through a range of teams and roles – the Pro Vice Chancellor for Research, the Associate Deans for Research, Head of the Graduate School, School Research Coordinators, the College Research Support Teams, the Grant capture Team, the Graduate School, the Centre for Professional Learning and Development (CPLD), and Library & Learning Resources.<br />

Within the library there has been a growing recognition that the research agenda at NTU was going to continue to develop, so in July 2014 a Library Research Team was created to provide dedicated support to research active staff. Members of the Library Research Team were drawn from what was originally the Academic Liaison Team who had been responsible for supporting learning, teaching and research.<br />
<br />
The Library Research Team consists of four members of staff who provide specialist support and advice to researchers in the following areas:<br />
<br />

<li> How to find and trace subject specific information;</li>
<li>Managing research information, including the management of bibliographic references; standards for citing references and ethical use of information;</li>
<li>Managing their online identity:</li>
<li>Finding other research groups to collaborate with;</li>
<li>Advice on maximising and measuring the intellectual, scientific, economic, social and cultural impact of their research outputs</li>
</ul>

The Library Research Team work closely with:<br />

<li>Senior members of the university to develop new policies and procedures, especially in relation to open access publishing, measuring impact and research data management;</li>
<li>Other research support teams to provide support and guidance to research staff;</li>

We wanted to be part of the Jisc Making sense project, because although we have a strong collaborative working relationship with research staff, we wished to develop a more in-depth understanding of how NTU researchers select where to publish, their views on Open Access (OA) and their publishing practices in relation to OA. Just had a stimulating couple of days at Repository Fringe here in Edinburgh where there was much talk about the role of repositories/ the CRIS, open access and research data management. Now going to the LOCH - Open Access for the REF Planning workshop and what better place to launch the fully editable versions of CIAO - <a href="http://bit.ly/1N9dkcd">http://bit.ly/1N9dkcd</a> and MIAO - <a href="http://bit.ly/1DsXnOa">http://bit.ly/1DsXnOa</a> . Both are now available as word documents which means that you can customise them to meet our own institutional needs. Adjustments to the <a href="http://www.hefce.ac.uk/pubs/year/2014/201407/">Hefce policy</a> means that we need to possibly tweak our message to academics slightly. Now you can edit MIAO and tailor for your own institutional needs so that's what I will be doing on my return to Oxford Brookes. </div>

Having launched <a href="http://bitly.com/1ElNlL0">CIAO - Collaborative Institutional Assessment of Open Access</a> in November last year, we now have evidence that a number of institutions have already used it and have fed back comments. So far there have been 193 clicks on the link to CIAO and <b>Zoe Clark from Edge Hill University</b> has sent this feedback:<br />

We haven't had any feedback from this yet but there have been 93 clicks on the link.<br />

Having a Design team available within Learning Resources has helped us immensely in creating attractive outputs. As we now have a series of outputs and there will be more then we now have some feline project branding.<br />
<br />
<b>Interviews</b><br />
Highlighting how universities work in different ways, we decided early on in the project that here at Oxford Brookes, having recently completed 90 interviews for research data management that we wouldn't conduct any more interviews straight away but both Nottingham Trent University and Portsmouth University were keen to conduct some interviews to get a sense of researcher attitudes to open access. For Nottingham Trent, it was an opportunity for their newly formed dedicated research support team within the library to get to know their researchers and raise awareness of their services. The team managed to conduct 50 interviews across faculties which were recorded, transcribed and are now being coded.<br />

<b>Learning from each other - preparing for our workshop on 20th May</b><br />
At the end of last week we set aside two days to talk about our results so far and planning for the workshop on 20th May. To me this is all about the value of being part of a pathfinder project and so having the excuse of discussing with colleagues from other institutions what they are doing to support open access, why are they doing it that way and what can we learn from this. On the second day we invited Julie Bayley along from Coventry (<a href="http://blogs.coventry.ac.uk/researchblog/o2oa-reflections-on-the-process-and-playdates-so-far/">O2OA pathfinder</a>) , who has extensive experience of behaviour change with health, and we are collaborating with her on 'intervention mapping for OA' which we will be sharing at the workshop.<br />
<br />
<b>Looking ahead</b><br />
The programme for the our workshop will be announced on 20 March. Intervention mapping is being tested with Portsmouth University and coding continues at Nottingham Trent. At Oxford Brookes, the first ethnographical interview has been conducted and the feline family is expanding as we develop our cultural probes for the longitudinal study of researcher behaviour around the publishing process.<br />

MIAO is self-assessment tool for researchers to assess how prepared they think they, and their institution, are for Open Access (OA) compliance. This is based on CIAO - Collaborative Institutional Assessment of Open Access - a benchmarking tool for assessing institutional readiness for Open Access (OA) compliance. <b>How can it be used?</b><br />
You can download it and print it out on an A4 sheet of paper and then get researchers to rate themselves. I'm planning to use it with new researchers to gauge OA awareness when they join Oxford Brookes. We may also use it as an ice-breaker with smaller groups of researchers. Note this is the pilot version so we are interested in any feedback and how other institutions have used it.<br />

It seems like a long time since our first project meeting way back in July when we started on our journey. Having each given some background to where each university was with systems, structures and processes, we started to think about how we could explore researcher behaviour at each of our universities. It was decided that Nottingham Trent University (NTU) and University of Portsmouth would draw on the experiences of Oxford Brookes who had successfully used structured interviews for their research data audit and to use these techniques to discover more about researchers and the publication process. At the same time Oxford Brookes would conduct some more in-depth ethnographic studies on a number of researchers at different levels using a set of cultural probes which could be observations, diary keeping - video or written, recording open access pain points. We will be making more progress on this in the next six months.<br />

The idea is that each institution gathers together all the stakeholders for Open Access and then uses this tool to assess their institutional readiness for open access. We are concentrating on a version that could be used in a workshop-type setting - perhaps it could be tested at a community workshop if one is being held on OA baselining. A test version should be ready by the end of September 2014.<br />
<br />
<b>Individual</b><br />
We explored the possibility of a re-run of the <a href="http://rspproject.wordpress.com/?s=attitudes">‘Unlocking attitudes’</a> survey which was conducted in 2011 by the Repositories Support Project(RSP) and there was some interest in this from fellow pathfinders. Each of the institutions that took part in that survey had data that could serve as a baseline to attitudes now. For Oxford Brookes, if we were going to do this, we had to move fast as our Pro Vice- Chancellor was planning to run research roadshows for each REF Unit of Assessment starting in October 2014 and this was likely to affect researcher attitudes. Sadly we decided not to do it and to focus on the institutional baselining however we have a new academic/research staff induction gathering next week and would like to find out their understanding of OA as they are new to Oxford Brookes and then follow-up with another survey just for them a year later. Just a short survey of about 5 questions .<br />
<br />
<b>What next?</b><br />
By December, we hope to be testing a number of cultural probes with a pilot group of researchers, Stuart Hunt, the project director will be presenting at the RLUK conference in November and the Collaborative Assessment for Institutional Readiness for Open Access will be ready for use. Our community workshop is booked for May 20 2015 at Oxford Brookes University.<br />

One of the great things about being a JISC-funded project is
the ability to network with other projects in the programme. There are many areas of common ground across
all the Pathfinder projects and talking to institutions is a rewarding
experience. It is relatively easy to
carry out and complete a project in isolation but, without interacting with
other projects in the programme, a real opportunity is missed.<o:p></o:p></div>

Interacting with other projects is a chance for support, advice and, most significantly, the exchange of ideas. This was the case in point for us recently
when we had a conference call with colleagues at Coventry University working on
the <a href="http://blogs.coventry.ac.uk/researchblog/category/oa/">O2OA</a>
project.<o:p></o:p></div>

We were able to explain our methodology and approach but
also to receive suggestions and encouragement from colleagues with interests similar
to our own. We are clear that we see the
methodology that we develop and use during our Making Sense project will itself
be an output. We hope that it will
strike a chord with other institutions, particularly those similar in mission to
our own, and help in embedding OA compliance to support our researchers.<o:p></o:p></div>

We were particularly pleased to talk about behavioural
change and pick up advice on normalization process theory. We hope that this will inform our work on
sensemaking. It was also good to discuss
our concerns about process maps and how they do not reflect the researcher
experience. Both our projects are more
interested in putting the researcher at the centre and understanding this as a
constellation is central to our thinking and our work.<o:p></o:p></div>

There was much talk about our local situations and how we were going to get started. Building on our experiences at Oxford Brookes of conducting research data audit interviews with some 90 researchers, we decided that stage one of the project would be to conduct semi-structured interviews with some researchers.<br />
<br />
<b><span style="color: purple;">Who to interview?</span></b><br />
Our next job was to decide who to interview so we considered all projects which were funded by RCUK or Wellcome Trust. We then organised the list of projects by gender of Principal Investigator (PI) and their research career position (junior, middle, senior) so that our sample had a mix of these. The day ended with each associate university having a list of tasks, the main one being deciding who to interview. For Nottingham Trent and Portsmouth, the use of semi-structured interviews is new as well having a team of interviewers made up of subject librarians, research support staff, IT staff so we have offered to visit each institution to support this.<br />
<br />
<b><span style="color: purple;">Sensemaking</span></b><br />
As for sensemaking, we are considering using a variety of tools: observation; interviews, semi-structured; research process interviews; research journals/diaries ; recording activities; cognitive maps; cultural probes; artefacts and self-recording. We are now thinking that this more in-depth study will probably be on a smaller number of researchers although we were still concerned about what would make up a reasonable sample.<br />

We all took part in a 'speed dating exercise' where we identified any common threads between projects and opportunities for sharing and jointly communicating. We thought that the <a href="http://blogs.coventry.ac.uk/researchblog/category/homepage/">Coventry</a> and <a href="http://oapathfinder.wordpress.com/">Northumbria projects</a> were the most interesting from our perspective, maybe because they are similar universities to us.<br />

It a button which you press every time you come across a paywall whilst researching a subject. So the first phase is geographically mapping requests for open access and the next phase which is the part that really interests me where pressing the Open Access button activates a search for an open access version of the paper. As Nick Sheppard form Leeds Met. recently expressed in a email, this could be a powerful advocacy tool for the green OA.<br />

Interestingly academic engagement came up as one of the major problems. Another observation by one of the delegates was that there hadn't been much talk about the '<span style="color: #38761d;"><b>green</b></span>' route, which for most non-research intensive universities like us with only a small block grant if any would be the OA route that we would be following.</span></div>
